Decide what happens after images arrive
This page offers a civil information-handling brief. It does not establish a Polish customer project, authorize surveillance or describe how to collect images.
Begin with the intended recipient
For a civil monitoring request, receiving an image file is only part of the information task. Someone must know who needs it, why it is being kept and whether it may be passed on. Agree those points before treating a shared folder as the default destination for everything.
Name the person responsible for the image set and describe its intended civil purpose in plain language. Distinguish that role from the person who merely received an email attachment. If the purpose or responsibility is unclear, keep the question open instead of assuming unrestricted use.

Access
List the people or roles that need to see the material for the agreed purpose. State where the current copy is held and whom to contact when access needs to change. Avoid including unrelated personal details in a widely circulated handling note.
Sharing
Record any restrictions communicated by the person who supplied the images. Ask before sending them to another group or using them publicly. A file being easy to forward does not show that further sharing has been agreed.
Retention
Identify who can decide how long the material is needed and when that decision will be reviewed. Do not invent a universal retention period. Keep the agreed handling instruction with the file set so different recipients are not working from conflicting assumptions.
